How to do it
- Open Rent receipts and type your name, the owner’s name and the address.
- Type the monthly rent and choose the first month and how many months.
- Choose how you paid: bank transfer, UPI, cheque or cash.
- Type the owner’s PAN if the rent is over ₹1,00,000 a year.
- Press Make the receipts, then print, have each one signed, and give them to your employer.
What the receipts contain
One receipt per month, two to a page: who paid, the amount in figures and in words (Rupees Fifteen Thousand only), the month, the property address, how it was paid, the owner’s name, and a line for the owner’s signature and the date. The first month starts in April, the start of the financial year, unless you change it. Up to 24 months at once.
When the owner’s PAN is needed
If the rent you pay comes to more than ₹1,00,000 in the year, about ₹8,333 a month, your employer needs your landlord’s PAN to allow the HRA exemption. Type it and it is printed on every receipt.
For rent paid in cash over ₹5,000, receipts commonly carry a revenue stamp signed across by the owner. Choose Cash, and when the monthly rent is over ₹5,000 each receipt marks the place for one.
Before you hand them in
The HRA exemption is claimed under the old tax regime; the new regime does not allow it. Receipts should match what you actually paid, and keeping bank or UPI records of the payments helps if you are asked. If your employer takes the receipts online, have them signed, photograph them with Scan, and send one PDF; Merge joins it with your rent agreement if needed.
A worked example
Anjali pays ₹18,000 a month for a flat in Kochi, by UPI, from April. That is ₹2,16,000 in the year, over ₹1,00,000, so her employer will want the owner’s PAN. She types her name, the owner’s name and the address, 18000 as the rent, April as the first month and 12 months, chooses UPI, types the owner’s PAN, and presses Make the receipts. Six A4 pages come out, two receipts on each, with the amount in figures and in words.
What an employer usually checks
Employers commonly look for the tenant’s and owner’s names, the address, the period, the amount, the owner’s signature, and the owner’s PAN when the yearly rent is over the limit. Some also ask for a copy of the rent agreement or a declaration from the owner. Check your employer’s payroll instructions for the year, because they differ from company to company.
Questions people ask
Is what I type stored or sent anywhere?
No. The receipts are made in your browser and nothing you type is kept or sent.
Can I sign them on screen?
The owner signs the receipts, not you. If your employer accepts a signature placed on the PDF, the owner can use Sign; otherwise print them and sign in ink.
Can the names be in Malayalam or Hindi?
Yes. Words the PDF fonts cannot draw are drawn by your browser and placed as pictures, so they show correctly but cannot be searched.
What if I moved house during the year?
Make two sets: one for the months at each address, with each owner’s name.
Can I make receipts for an earlier year?
Yes. Choose the first month you need, such as April of last year, and the number of months. The receipts should reflect rent you really paid in those months.
Can I correct the receipts after making them?
Make them again with the corrected details; it takes moments. Once the owner has signed, leave the PDF and the paper copies as they are.
