A passport photo on a form
Many application forms have a box for a photo. The picture keeps its shape as you resize it, so it will not squash to fit a box of a different shape. Before you start, crop the photo in your phone’s gallery to the box’s shape, usually a little taller than it is wide, with a plain light background if the form asks for one. Then place it, zoom in, and size it by its corner until it sits just inside the printed box.
Whether a placed photo is accepted depends on who receives the form. Some offices want a printed photo pasted on paper; others are happy with one placed on the PDF. Read the form’s own instructions.
A logo on a letter or quotation
For a logo on a letter, a quotation or a price list, a PNG with a see-through background sits cleanly on coloured or lined paper, while a JPEG brings its white box with it. Place it on the first page, or tap each page that needs it; each copy moves and sizes on its own, so line them up by eye at the same zoom.
For a long document with a logo on every page, placing it page by page is slow. If words will do, Header and footer puts a line such as your company’s name along every page in one go.
Keeping the file small
A phone photo can be several MB. Add image shrinks a big picture to at most 2,000 pixels on its longest side before it goes on the page, which stays sharp on screen and on paper, so one photo does not swell the PDF. A photo taken sideways is turned upright first, from the phone’s own record of how it was held.
Adding, or changing what is there?
Add image puts a new picture on the page. To move, resize, take out or swap a picture already in the PDF, such as an old logo, use Edit pictures instead; see replace a logo or picture in a PDF. For a signature, Sign lets you draw one, and a photo of your ink signature works here too.
A worked example
Kiran is sending his marriage biodata as a PDF and wants his photo at the top right of the first page. He crops the photo in his gallery to a portrait shape, opens Add image, adds the biodata and chooses the photo. He taps near the top right of page 1, drags the photo into the corner, and drags its corner until it is about a quarter of the page wide. He presses Place it, opens the copy to check that nothing printed is hidden under the photo, and sends it.
Common mistakes
Tapping the page before choosing a picture: choose the picture first, then tap. Placing a JPEG logo on a coloured letterhead, which shows a white rectangle round it. And placing a photo over printed words, which hides them in the saved copy, because the picture becomes part of the page. Check the position before you press Place it; your original is never changed, so a wrong placement costs only a fresh start.
Questions people ask
Which picture types work?
JPEG and PNG work everywhere; other types, such as WebP, where your browser can read them.
Is my photo uploaded?
No. It is placed on the page in your browser and stays on your device.
Can I place the same logo on every page?
Yes: tap each page that needs it. There is no single button for every page at once.
Can I change it after placing it?
Before saving, drag it, resize it, or take it off with its ×. After saving it is part of the page; Edit pictures can move or take it out, or start again from your original.
Will it lower the quality of the rest of the PDF?
No. Only the new picture is added; everything else on the page stays exactly as it was.
